The purpose of this privacy policy is to provide you with information about what recruitment-related data we collect, how and why we do it, and how we process it. For other situations see Vuono Group’s general privacy policy.
Vuono Group (“we”, “us”, the “Controller”) collects and processes personal data during recruitment activities using Teamtailor (the “Service”). We are always committed to protecting your privacy as described in this Privacy Policy.
How can you contact us?
Recruitment-related personal data is controlled by Vuono Group. If you have any questions in relation to recruitment data or privacy at Vuono Group, please contact us at privacy@vuonogroup.com.
What data do we collect, and how do we use it?
We collect and process your data to evaluate your suitability as a candidate and to make informed recruitment decisions. The processing is based on Vuono Group’s legitimate interest in assessing your potential for current or future job opportunities.
If you apply for a job at Vuono Group, or if we contact you for recruitment purposes, we may collect the following information about you:
- Your name and contact information
- Professional interests and skills
- Link to your LinkedIn and/or possible other profile (e.g. GitHub)
- Cover letter, CV, and other files/information that you personally wish to send us
- Data relevant for processing the application, obtained during discussions, interviews, and other communication between Vuono Group and you.
- Your consent, where given, to use your application for other positions
- AI-generated transcripts from interviews (where applicable and with prior notice).
We use this data solely for the purpose of processing your application and communicating with you throughout our recruitment process. We do not share your information with third parties unless required by applicable laws.
We may also collect data from third-party sources, such as LinkedIn and other publicly available platforms for sourcing purposes.
In certain cases, current employees may recommend potential candidates by submitting their personal data. When this happens, the referred individual Is treated in accordance with this Privacy Policy and informed about the data processing accordingly.
We may use AI-based tools to support parts of our recruitment process, such as summarising resumes, identifying potentially suitable candidates for open positions, and generating interview transcriptions. These tools are intended to help our recruiters assess candidates more efficiently, but all decisions regarding a candidate’s progress are made solely by our recruitment team. AI is used only as a supportive aid.
If AI-assisted transcription is used during your interview, you will be informed at the outset. You will also have the option to object to its use at that time, and doing so will not affect the outcome of the recruitment process.
Who processes your data?
Your data is processed by Vuono Group. We may also use external recruitment experts in the recruitment process.
We use the following service providers to process recruitment-related data:

Is your data processed outside of the EU/EEA?
We primarily process your personal data within the EU/EEA. However, some of our service providers, or their parent companies or subcontractors, are located outside the EU/EEA, which may result in your data being transferred internationally. Any such transfers take place only where necessary for the purposes set out in this Privacy Policy, and always in accordance with applicable laws and legal requirements, including the use of appropriate safeguards where required.
How long do we store your data?
Your application and interview details are stored for 36 months. We retain this data in order to:
- assess your suitability for the position you applied for,
- evaluate your fit for any future roles you may apply for,
- consider you for other potential roles that match your profile, and
- contact you about new opportunities at Vuono Group
The storage period may be extended if there has been recent activity, such as communication between you and Vuono Group within the past 3 months.
What rights do you have?
You have the right to request access to, correction of, or erasure of your personal data, as well as to request restriction of processing and to exercise other rights under applicable data protection laws. Please send any such written requests to the email address provided above. You can at any time ask us:
- to confirm if we process any personal data related to you and to deliver an electronic copy of such data,
- to correct any inaccurate personal data related to you,
- to erase any personal data related to you,
- to restrict us processing any personal data related to you
Finally, you have the right to lodge a complaint with the relevant supervisory authority if you believe your personal data has been processed in violation of applicable privacy laws. In Finland, you can contact the Data Protection Ombudsman (Tietosuojavaltuutettu) at www.tietosuoja.fi
What information is required, and what if I don’t provide it?
You must always give the information marked as “required” in the application form. Required information includes name and email address and documentation of your professional skills and experience. If you do not give the required information, we cannot unfortunately accept your application.
